A rent receipt is the tenant's proof that a particular amount was applied to a particular charge on a particular day. Write one every time you record a payment, including cash, money order, and a partial payment. The receipt should name the tenant, the unit, the date, the amount, the method, and which charges the money paid.

People search for a rent receipt because they need a record they can show a housing office, a lender, or a court. In the United States, "rent receipt" is searched about 9,900 times a month. A template without the ledger behind it creates a second set of books. The receipt and the tenant ledger have to describe the same payment.

What belongs on a rent receipt?

A rent receipt is a written acknowledgment that you received money and how you applied it. It is not the lease, and it is not a waiver of any other amount still open.

Include these fields every time:

Field What to write
Date received The day the money reached you, not the day it was due
Amount The dollars you actually received
Method Check number, money order, cash, or the bank reference
Payer The name on the payment, which may be a parent or an agency
Tenant and unit The lease the payment is applied to
Period and charges Which charges the payment cleared, and what is still open
Your name The management company, not only the owner's name

California's Department of Real Estate tells tenants they are entitled to a written receipt whenever they pay rent, and that a canceled check can stand as the receipt when they pay by check. Cash and money order have no canceled check, so those payments need a receipt you hand over or email the same day. Other states and provinces set their own rule. Put the practice in your office manual anyway, because the dispute is the same everywhere: the tenant says they paid, and you cannot find the deposit.

How do you write a rent receipt for a full payment?

Use one sentence for the amount and one sentence for what it cleared. Here is a March 2026 payment on a unit at $1,850 rent, $75 parking, due April 1.

Received $1,925.00 on April 1, 2026, by check 4412, from Jordan Lee, for 14 Maple Street, Unit 2. This pays rent of $1,850.00 and parking of $75.00 for April 2026. Balance after this payment: $0.00. Received by Northside Management.

That is the whole receipt. Do not add a thank-you line that could be read as forgiving a prior balance. If March still had $48.39 of pet rent open, the receipt has to say so: "April rent and parking are paid. Pet rent of $48.39 from March 12 remains open."

Number the receipts if you take cash. Receipt 2026-0142 should match a line in the tenant ledger with the same date, amount, and check or cash note. When those three do not match, you have two records and no proof.

How do you write a rent receipt for a partial payment?

Apply the money to the oldest charge first, then say what is still open. Do not write "rent paid for April" if the tenant only paid part of April.

Example. The oldest open charge is March pet rent of $48.39. April rent is $1,850. The tenant pays $1,000 on April 3, 2026.

  1. $48.39 clears the March pet rent.
  2. The remaining $951.61 reduces April rent from $1,850 to $898.39.
  3. Parking of $75 stays open, because it is newer than the rent charge you are still paying down. If your lease says partial payments hit rent before parking, follow the lease and write that order on the receipt.

The receipt then reads: "Received $1,000.00 on April 3, 2026. Applied $48.39 to March pet rent and $951.61 to April rent. Still open: April rent $898.39 and April parking $75.00."

A receipt that says "April rent received" when $898.39 is still open is the sentence that loses a nonpayment case. Write the balance.

Who gets a copy, and how long do you keep it?

Give the receipt to the person who paid and keep one on the lease. Email is enough when the tenant has an email address on the lease. Cash still deserves a paper copy or a same-day email the tenant can open on their phone before they leave the office.

Keep the receipt with the ledger for the life of the tenancy and for as long as your state lets a tenant sue over a payment dispute. A practical floor is the lease term plus the local statute of limitations your attorney names. Do not throw out cash receipts at year-end. They are the only evidence that the cash reached the trust account.

If an agency or a parent paid, the receipt names both the payer and the tenant. The agency needs the receipt for its file. The tenant's ledger still shows the charge as paid. Those are two copies of one fact, not two payments.

How do you stop the receipt from drifting off the ledger?

Post the payment in the ledger first, then copy the application onto the receipt. The other order, writing a receipt at the desk and posting "later," is how cash goes missing.

Tivio is property management software for independent property managers. You record the payment against the open charges, payments apply to the oldest charge first, and the tenant gets an email receipt. The receipt, the ledger, and the owner statement then describe the same $1,925. The who-owes report should show the balance you printed on the receipt, not a second number you calculated on a sticky note.

Before you hand the receipt over:

  1. Confirm the amount matches the deposit, the check, or the cash count.
  2. Apply it to the oldest charge unless the lease names a different order.
  3. Print the remaining balance, even when it is zero.
  4. Use the same date on the receipt and the ledger.
  5. File a copy on the lease the same day.

A rent receipt is a small document. The habit of writing the balance on it is what keeps a 40-unit portfolio from arguing about cash.
